SEVIS Registration Following the 5.7 Upgrade - Practice Examples

The following are sample procedures for registration under several scenarios.

Registration for students continuing in academic programs


Program Start Date 1/07/2008
Program End Date 12/30/2010
Current Session End Date Last day of the current term, e.g. 5/15/2008.
Next Session Start Date
  • The fall start date, e.g., 8/25/2008. You may use the fall term start date if the summer is considered the students' annual break, and your institution chooses not to perform SEVIS registration for continuing students in the summer term.
  • The summer term start date, e.g., 5/20/2008, if you report enrollment in summer sessions.

  • For students whose Program End Date falls in the summer term, (before the fall start date), see the example on registration for students completing their studies below.

  • If the DSO subsequently finds that the student completed the program of study during this term, then the DSO has the option to correct SEVIS registration by checking the box indicating this is the student's final term. In addition, the DSO should act on the record as appropriate, i.e., shortening the record during the 60-day grace period to comply with graduation reporting requirements. The SEVIS records will then be automatically completed by the SEVIS maintenance programs 60 days after their Program End Date. If the DSO has documentation that the student has indicated no desire to transfer, pursue another degree (Change Education Level), or change status, and instead indicates that he or she is returning home, then the student's SEVIS record can be completed.


Registration for students continuing in English Language Schools (that are not on a semester/trimester/quarter system)

Program Start Date 1/07/2008
Program End Date 12/30/2008
Current Session End Date Last day of the current term, e.g., 4/30/2008.
Next Session Start Date The start date of the next term, e.g., 5/15/2008.
Last Session Check Box Blank
Comments You may not use the fall term start date since the student's program does not provide for an annual break.



Registration for students completing their studies in academic programs

Example A

School policy is to assume a student is completing by his or her Program End Date unless they hear otherwise, or student has indicated he or she will be completing by their Program End Date:

Current Session End Date Last day of the current term, e.g., 4/30/2008.

Comments Institutions should establish policy regarding use of the Last Session check box a second or third time for academic reasons such as failing a class, not passing a thesis or dissertation defense, etc. For example, if the student requests a Program Extension prior to his or her I-20 Program End Date, the DSO may again check the Last Session box for the next available session the student will be registered for, and authorize a reduced courseload for that final term.


Example B

Student has NOT indicated that he or she is in the final term or will be in his or her final term in the summer, nor has the student applied for an extension of his or her program. This school does not normally register students for the summer term:

Current Session End Date Last day of the current term, e.g., 4/30/2008.

  • The institution will have to institute its own policy and corresponding procedures regarding communicating with students about future plans.

  • If during the summer term the student eventually indicates that he or she will complete that term, the DSO can register the student with a Current Session End Date of 08/10/2008 and the check box for Last Session marked.

  • If the student applies for an extension and enrolls in the summer, the DSO may update the registration with a Next Session Start Date of 8/25/2008.


Example C

Student has NOT indicated that he or she is in the final term or will be in his or her final term in the summer, nor has the student applied for an extension of his or her program. This school does not register for the summer term for continuing students, except for those whose records expire in the summer term :

  • Each institution will have to institute its own policies and corresponding procedures regarding how to deal with this scenario. For example, some institutions may view a student's application for graduation as an indication that it is the student's final term. Other offices may require that a student who expects to complete must submit a final term request form to the foreign student adviser. Yet others may decide that in the absence of any indication from the student, all students with an expiring record will be registered in SEVIS as being in their final term.

  • When the Next Session Start Date is the start of the Summer term, SEVIS registration for the summer term is required. If the student expects to complete the program in the summer, they must enroll in summer sessions and apply for graduation in the summer term.

  • If the student will not be completing his program in the summer term, the student must request a Program Extension before the deadline for SEVIS registration for the summer term. The Next Session Start Date should then be 08/25/2008 on the summer term registration.


Registration for students completing their studies in one session at English Language schools

Program Start Date 1/07/2008
Program End Date 4/30/2008
Current Session End Date Last day of the current term, e.g., 4/30/2008.

Comments If the student decides to continue with another session before the record expires on 04/30/2008, the DSO can extend the SEVIS record to reflect the end of the next session as the Program End Date. Registration may be adjusted to show the new Next Session Start Date (start date for the next session).


Registration of students beginning programs during Summer terms

Regardless of whether you normally register students in the summer, you must follow the SEVIS registration requirements for all Initial Status students, i.e., students starting a new program with a Program Start Date that falls in the summer term.
